CertSafe Medical Compliance Medical Services

DOT Medical Exam Compliance Oversight

We help clinics perform DOT physicals in full alignment with FMCSA expectations. This includes documentation review, required form guidance, workflow improvements, and examiner support.

Standardized Medical SOPs

We provide clear, clinic-ready standard operating procedures that outline how DOT medical services must be performed, documented, and stored—reducing variability and protecting examiners.

Examiner On-boarding & Training Support

New examiners are brought up to compliance quickly with:
• Required documentation
• SOP implementation
• Medical exam workflows
• Regulatory expectations
• Clinical decision-making support tools

Compliance Attestation Systems

Our attestation forms reinforce examiner responsibility and help clinics demonstrate oversight and good-faith compliance efforts.

Quarterly Medical Compliance Summaries

We compile and deliver structured summaries outlining your clinic’s compliance status, documentation quality, and corrective action steps if needed.

Chart & Record Review

Random chart reviews provide a snapshot of medical documentation quality and highlight potential risk areas before regulators do.

CertSafe Medical Compliance Levels of Service

Our Services

CertSafe Medical Compliance uses a tiered approach to give clinics and examiners the right level of support based on their needs. Each tier builds on the one before it, offering progressively stronger structure, oversight, and documentation tools. Whether a clinic is looking for basic guidance, enhanced support, or a fully managed compliance framework, our tiered system provides a clear path toward consistent, reliable, and defensible DOT medical exams.

Tier 1 – Essential Compliance

Tier 1 – Essential Compliance provides the foundational structure every clinic and examiner needs to perform DOT medical exams confidently and consistently. This level focuses on establishing clear, standardized processes through core compliance checklists, required documentation guidance, and clinic-ready SOPs. Tier 1 helps ensure that examiners understand the federal expectations that govern DOT physicals and have the tools to document their decisions accurately. It’s designed to reduce variability, strengthen defensibility, and create a reliable baseline workflow that clinics of any size can build on. Perfect for new examiners or clinics looking to bring their DOT services into organized, compliant order, Tier 1 sets the stage for safe, efficient, and properly documented medical exams.

Tier 2 – Advanced Compliance Support

Tier 2 – Advanced Compliance Support expands on the foundational structure of Tier 1 by adding deeper oversight, enhanced documentation tools, and more consistent examiner guidance. This level is designed for clinics performing regular DOT exams who need ongoing support to maintain alignment with federal expectations. Tier 2 includes quarterly compliance summaries, examiner onboarding tools, attestation systems, and structured documentation support to help clinics quickly identify risk areas and strengthen their internal processes. It brings a higher level of clarity, accountability, and standardization to the DOT exam workflow, ensuring that examiners stay current, records remain defensible, and clinics can demonstrate good-faith compliance efforts throughout the year. This tier is ideal for practices seeking improved quality control, better documentation discipline, and a more proactive approach to DOT medical compliance.

Tier 3 – Comprehensive Compliance Oversight

Tier 3 – Comprehensive Compliance Oversight delivers the highest level of support, providing clinics with full-spectrum compliance management and ongoing expert guidance. Building on the structure and oversight of Tiers 1 and 2, Tier 3 includes in-depth clinic compliance audits, random chart reviews, detailed corrective action plans, workflow refinement, and priority access to consultation for complex or high-risk cases. This tier is designed for clinics with higher exam volumes, greater liability exposure, or a desire for complete standardization across multiple examiners or locations. Tier 3 ensures that every aspect of the DOT medical process—from documentation to decision-making to recordkeeping—is monitored, strengthened, and continuously aligned with federal expectations. For clinics seeking maximum defensibility, consistency, and peace of mind, Tier 3 provides a fully managed compliance framework that supports examiners at every step.
